You just finished a showing and your client is still in the driveway. Instead of scribbling notes you’ll forget by dinner, use this workflow to send a personalized follow-up before they even get home. Five minutes, done right.
Step 1: Capture Your Notes Immediately
While the showing is fresh, open your phone’s notes app or voice memo. Record: the client’s name, the property address, 2-3 things they liked, 1-2 concerns they raised, and their overall vibe (excited, hesitant, comparing options). This raw input is what makes the follow-up feel personal instead of templated.
Step 2: Open ChatGPT and Paste the Prompt
Open ChatGPT and paste the following prompt with your notes filled in:
You are a real estate agent writing a follow-up email after a property showing.
Client name: [NAME]
Property: [ADDRESS]
What they liked: [2-3 THINGS]
Concerns they raised: [1-2 THINGS]
Overall vibe: [excited / hesitant / comparing]
Write a warm, professional follow-up email that:
- Thanks them for their time
- References the specific things they liked
- Addresses their concerns naturally (don't be pushy)
- Suggests a clear next step based on their vibe
- Keeps it under 150 words
Tone: friendly, not salesy. Write like a trusted advisor, not a car dealer.
Step 3: Review and Personalize
Read the draft. Add one detail that only you would know from being there — maybe a joke they made, something about the neighborhood you pointed out, or a comment about their kids liking the backyard. This single detail is what separates AI-assisted from AI-generated.
Step 4: Send via Gmail
Copy the final email into Gmail. Use a subject line like “Great seeing [PROPERTY ADDRESS] with you today” — specific and non-generic. If you have their preferred contact method on file, match it. Some clients prefer text; if so, shorten the email to 2-3 sentences and send it that way.
Step 5: Log and Set a Reminder
Log the showing and follow-up in your CRM. Set a reminder for 48 hours out if you don’t hear back. If the client was comparing properties, prepare a quick comparison for the second touch.
